Rules of Chichester Folk Dance Group. These are the Rules as approved at the Annual General Meeting held on 21st March 2013, with changes as approved at the Annual General Meetings held on 19th March 2015 and 15th March 2018.
The rules of the Group in operation prior to the Annual General Meeting held on 21 March 2013 are hereby revoked.
The name of the Group shall be: "Chichester Folk Dance Group".
To promote the knowledge and practice of English Folk dances and music by means of dances, classes, demonstrations and festivals and other suitable methods.
Attendance at six club evenings confers membership and voting rights at annual general meetings and special general meetings. The membership on a particular date consists of all who attended six club evenings during the previous twelve months, plus Honorary Members.
The Management Committee may admit to Honorary Membership persons they deem to merit it, subject to the agreement of the membership at a general meeting.
4.1. The income of the Group shall be applied solely towards the attainment of the objects of the Group.
4.2. The charges for additional events shall be determined by the Management Committee as needed.
4.3. If upon dissolution of the Group and after satisfaction of its liabilities there remains any property or monies, they shall be transferred to the English Folk Dance and Song Society. The English Folk Dance and Song Society shall arrange that the property and monies be used for the benefit of Folk Dancing in Sussex as specified by the “Sussex Folk Association”. If Sussex Folk Association no longer exists then by an equivalent organisation for Folk Dancing in Sussex.
5. MANAGEMENT COMMITTEE AND OFFICERS
The Management Committee shall be elected by the Annual General Meeting of the Group and shall consist of a Treasurer and three other members. All shall be members of the Group. The Management Committee shall be responsible for:
5.1. The selection of the Chairman of the Group.
5.2. The conduct of the affairs and business of the Group.
5.3. Maintaining a Register of Members.
5.4. Specifying the amount dancers shall be charged per attendance at club evenings.
5.5. The custody and care of the property of the Group and maintaining a Register of custodians.
5.6. The collection of dues, the payment of debts, the control of expenditure, and the keeping of proper financial records and accounts.
5.7. The filling of casual vacancies, on the Committee and co-options.
5.8. The quorum for their meetings shall be two.
6. GENERAL MEETING OF THE GROUP
6.1. The Annual General meeting shall take place at a time and place determined by the Management Committee, the business of which shall include: The Minutes of the last Annual General Meeting and of any special General Meetings since held; The Management Committee's annual report; The Treasurer's report and the adoption of the examined Accounts; The election of the Management Committee; Motions.
6.2. A Special General meeting may be called at any time by the Management Committee or upon the written request of no fewer than twelve members of the Group.
6.3. Notice of the General meeting shall be given in writing not less than four weeks prior to the Meeting in the case of the Annual General Meeting and two weeks in the case of a Special General Meeting and in each case shall state the business to be conducted.
6.4. Motions and Nominations for General Meetings. Motions for General Meetings and nominations for election to the Management Committee shall be proposed and seconded by members in writing with the nominees consent and submitted to the Management Committee not less than one week prior to the meeting, subject nevertheless to Motions and Nominations not so submitted being accepted by the Meeting if a majority of members present thereat assent.
6.5. Voting at General Meetings shall be in a manner decided by the presiding officer subject to a motion proposed, seconded and carried thereat calling for a ballot. In the event of an equality of votes upon any motion, the presiding officer may have a casting vote.
6.6. The quorum shall be twentyfive percent of the membership. _
